SHS Data Quality Improvements
Most users affected by these changes will have received an email detailing the changes. In addition, further information on the changes is available via the AIHW website (refer to the section Data Quality Enhancements – September 2020):
Note form
- a ‘SHS Service’ check box, which indicates whether services reported in that Note are SHS services or are not SHS services
- a visual indicator (i.e. house icon) of whether a SHS Support Period exists for the client.

Note that a SHS service is defined as:
- Any service provided by an SHS agency with the intention of responding to, or preventing, homelessness for a client. The service must relate to a SHS Support Period.
- Services provided to individuals which are funded through programs outside of the scope of the SHS Collection are not SHS Services. These services do not have to relate to a support period.
The SHS Service check box will be ticked by default for all services, however, an agency worker can ‘untick’ this checkbox to indicate the service is not an SHS service and will not be included in data for the SHS Collection.
SHS Extract
- The SHS Extract has been updated so that only notes ticked as ‘SHS Service’ will be included in the extract.
- If the ‘SHS service’ check box is ticked but there is no corresponding support period record, the monthly extract of data will fail until the situation is resolved.
- To assist agency managers ensure correct data entry, the Reports > SHS screen has been updated to include a list of all notes identified as non-SHS.
File Notes
The treatment of note records where the contact type is ‘File Note’ has been modified. For the purpose of the SHS Extract, ‘File Notes’ will now be treated the same as other note types. To prevent services recorded against a File Note from being included in the SHS extract, the user should untick the ‘SHS Service’ flag.
Reports and Lists
SHS reports and lists have been updated based on these new rules
